Recordkeeping is your proof. Proof protects you, teaches you, and makes your operation improvable.
- Keep records that answer: what happened, when, and why.
- Use batch IDs so everything is traceable.
- Recordkeeping should be simple enough to do every time.
Decision path
- If you can’t recreate results, your records are missing key variables.
- If you can’t prove compliance, your records are incomplete.
- If you’re too busy to log, simplify the log—not the standard.
- Use a batch ID for every run.
- Log dates: start, key checkpoints, release date.
- Log inputs changed (only what changed).
- Log QC release: pass/fail and why.
- Log inventory movement (in/out) at least weekly.
- Review monthly: one improvement based on the records.
Records are not paperwork. Records are leverage.
Quick example
Minimum records checklist:
| Record | Minimum fields | Frequency |
|---|---|---|
| Batch log | ID, dates, changes | Per batch |
| QC release | Pass/fail, notes | Per release |
| Inventory | Counts, adjustments | Weekly |
| Training | Who trained, when | As needed |
| Incidents | What, when, action | When happens |
This is operational recordkeeping, not legal advice. If you need legal guidance, consult a qualified professional.
- Logging nothing until there’s a problem.
- Using inconsistent naming (no traceability).
- Recording too much (you stop logging).
- Not recording changes (can’t explain outcomes).
- Skipping inventory counts (phantom stock).
FAQ
What’s the smallest log that still works?
A batch ID, dates, what changed, QC pass/fail, and inventory counts.
Paper or digital?
Either. Choose what you will actually maintain consistently.
How long should I keep records?
Follow applicable laws and your own risk tolerance. When unsure, keep longer and get professional advice.
